The Events application provides a convenient way to reserve locations
PLEASE NOTE
- Users must first have the privileges in their user account to Create New Events (see How to edit user privileges)
- Once an event is approved, the requestor can no longer make changes
- Event Scheduling must be enabled on the location edit page in order for it to be available for scheduling
- Event Categories and Calendars must already be set up for an event to be created
Events can be created by the members of any user group that has the privileges to do so.
Go to the Events Management screen and select Create Event.
Fill out all of the required information (indicated by a red asterisk). This process will be the same as the steps in the article How to Create Events.
Once the required fields have been satisfied, the NEXT button will allow you to proceed to the next step.
The Locations/Timing screen will allow you to chose the date and time you want to reserve specific location(s). Switch the toggle on to create a recurring schedule.
PLEASE NOTE: You will most effectively be able to see your schedule parameters by referencing the summary statement at the bottom of the page.
Fill out the date and time required fields first. The Recurrence Frequency, Recurrence Interval, and Repeat fields will further customize your schedule.
By adjusting the Recurrence Interval to 2 in this example, the schedule has been changed to occur every 2 weeks now (as seen via the summary statement).
The choices for Recurrence Frequency include Daily, Weekly, Monthly, and Yearly.
This examples portrays a schedule that starts on the 1st of every month instead of a specific day of the week.
To schedule an event that occurs sometime in between monthly and yearly, adjust the Recurrence Interval. By changing the interval to 6 in this example, the schedule occurs semi-annually (for quarterly, adjust the interval to 3, ect). Remember, you can always check to see how the frequency and intervals effect eachother down in the summary statement.
The Additional Information screen provides the option to add detailed answers to custom fields associated with the chosen Event Category or Calendar.
Once the required fields have been satisfied, the SUBMIT button will allow you to save your event.
